Improving Communication Efficiency And Reducing Administration Error

Case Scenario:
A tutoring club that offers one-on-one and small group academic tutoring and high school credit classes desired to build an online reporting system to improve communication efficiency but mostly to reduce administration work and error.

There were a couple different reporting system that the owner needed to fill out, from daily, progress and then calculating the number of hours for payroll purposes.

High amount of productivity time are mostly gone during the day because the admin and owner had to spend a lot of time with the reporting system, data entry and updating parents on their kids’ progress.

Problems:

• The company needed an efficient system to help them save time.
• The company needed a centralized reporting system to reduce inefficiency and double entry.
• The company needed to improve time efficiency thus improving profits by having more time to have more students.

Our Solution:

• We developed a custom online reporting system where each tutors have access too.
• We developed a web portal where parents can login and see their kids’ progress online. They are also able to update their profile and kids profile without the need to call the admin to do it. Through this web portal, parents are able to receive updated News or Newsletter too.
• We integrated a custom payroll system to the online reporting so that when payout time, the owner can easily pull the data/report and pay the tutor accurately.
• We developed the admin section where the admin section has higher privileges to control the quality of the reports before being shown to the parents’ web portal.
• We developed a custom reporting system for the owner to manage her business better, for example, number of students, total income, etc.
